Managing activities based on regions or areas can be challenging for managers using Dynamics CRM alone. However, it is important to have an overview of sales, marketing, or services based on different regions and areas.
Microsoft Dynamics 365 provides Sales Territory Management within CRM. You can manage specific areas for activities such as Sales, Services, Marketing Campaigns, Sales Demos, etc., from the Dynamics CRM Map.
With AppJetty MappyField 365, you can plot your CRM data geographically. Users can get detailed information about their CRM activities based on the prospect’s location on the MappyField 365 map.
MappyField 365 allows you to manage territories in four ways: By Region, Drawing, Territory, and File. If you have a shapefile of specific areas, you can import the shapefile to create a Territory on the MappyField 365 map and perform activities within that shape/region.
This is one of the prominent ways for Dynamics 365 CRM users to plot records or locations on the map, overlaying Dynamics CRM data along with the metadata included over the geographical boundaries defined by the shape. With file types such as .shp, .zip, .kml, or .geojson, users can create territories.
For example, a pharmaceutical company provides tablets to government healthcare facilities and some private hospitals. As the Manager of Distribution, you need to address supply and demand on an urgent basis.
If you have a shapefile of those locations, you can create a territory in MappyField 365, import the shapefile, and create a new Territory. This way, your Medical Representatives can supply COVID medicines based on high priority, as indicated by the plotted records on the map.
From the “Territory Management” section of MappyField 365, users can import the shapefile and save the territory to plot the records of that shapefile on the map.
Here are the steps to follow:
1. Open MappyField 365.
2. Navigate to Territory Management and select the “By File” option.
3. Select (Import) the shapefile and create a Territory.
Step 1: Navigate to MappyField 365
Select ‘MappyField 365’ from the Dynamics 365 dashboard or app list in the header.
Step 2: Open Territory Management
Under “Territory Management,” you can create new territories or manage existing ones directly from the map itself. You can plot regions on the map based on different search options.
By Region, By Drawing, By Territory, By File.
Also, you can plot the existing territories and copy or move them to others as required.
Suppose, as the manager of a pharmaceutical company, you have a Shapefile to supply medicines to the government’s primary health center and some private hospitals to meet the high demand for medicines.
Step 3: Select a Shapefile
Now, under ‘Territory Management’ in MappyField 365, select ‘By File’ in the Search Options and choose the option to plot by state, city, and postal code.
Once the Shapefile is selected, click on the ‘Plot’ button. After selecting the desired state, city, and postal code from the grid, click on the ‘Plot’ button again, and the selected options will be plotted on the map.
The above image shows the state-wise plotted shapes on the map. Now, you need to create a territory where you will prioritize supplying medicines. To do this, click on the shape and create a territory for that state (or region).
First, enable the selection icon, then select the shape. After selecting the shape, right-click on it, and you will see the option to ‘Create New Territory.’
Step 4: Manage Territory
By clicking on the ‘Create New Territory’ option, the ‘+ Create New Territory’ popup will appear, allowing you to manage the territory by creating a new one, combining with an existing one, or adding to an existing territory.
Add to Existing Territory: You will get a list of existing territories. Click on the desired territory to add the selected shape to that territory.
Create New Territory: Insert a relevant name for the territory (e.g., “Centers: Colorado”) and select the manager (user) – for example, select a Medical Representative from your supplier team.
After selecting the territory from the existing list or entering the details to create a new territory, click the Save button to add it to the Dynamics CRM territory list.
Now, Medical Representatives can plot records using that territory on the MappyField 365 map and perform various actions on the map. You can track these activities on the map as a manager or a Dynamics CRM user with administrator rights.
This way, if you have a shapefile of locations or regions, you can easily import it into the AppJetty MappyField 365 map and manage your territories. Users can perform actions and streamline their fieldwork through the map by plotting the records using that territory.
